This Privacy Policy governs the manner in which the Woking & District Men’s Shed charity (“we,” “us,” or “our”) collects, uses, maintains, and discloses personal information collected from you.

We may collect personal identification information from you in various ways, including but not limited to when you visit our website (“Site”), fill out a form or interact with other features or services we provide on the Site. The information we may collect includes, but is not limited to, your name, email address, postal address, phone number and vehicle registration number where applicable.

We use the information to assist us to run the organisation and to enable both of us to interact with each other.
How We Use Collected Information
We may collect and use your personal information for the following purposes:
- to maintain a list of members for the purpose of subscriptions, attendance records and interaction with you.
- to feature photos of members on our noticeboard to assist members to identify each other.
- from time to time we may take photos of members engaged in club activities and such photos may be included on the Site or on the website of organisations whom we are assisting. Members may withdraw their consent to have their photos so published and, if that is their wish, then they are asked to kindly avoid being in group photos where reasonably practical.
- Our landlord requires us to provide the car registration numbers of any member using their car park. We make this information available to them as required but do not otherwise use it.
- The main sheds have security cameras which are motion activated and record movement. This data would only be used where there was a need to identify anyone in the shed at a given time.
- Other than for the sole purpose of secure data storage and back-up, personal data will not be shared with or transferred, in any way, to any other party. We do not sell, rent or otherwise trade your personal data with others.

You may find content on our Site that links to the sites and services of our partners, suppliers, advertisers, sponsors, licensors or other third parties. We do not control the content or links that appear on these sites and are not responsible for the practices employed by websites linked to or from our Site. Browsing and interaction on any other website, including websites that have a link to our Site, are subject to that website’s terms and policies.

We use Google which is subject to Google’s terms and conditions.
Who can see your personal information
Members of the Committee and the trustees have access to personal information stored by us electronically. The storage is on Google and Gmail and is subject to Google’s terms and conditions. We also give members the chance to disclose medical information to us which may be helpful in case of a medical emergency. If a member voluntarily gives such information, it is not held electronically but on paper in a locked drawer, to be accessed in case of emergency.
How long is the data held?
We hold personal data for the time you are a member plus up to three months to allow for the possibility of a return. In the case of pictures taken by the security cameras, the files are overwritten approximately every thirty days. We expect to retain records of financial transactions for at least 7 years.
What rights do I have in relation to the personal data you hold about me?
You have the following rights with respect to your personal data:
- to request a copy of the personal data which we hold about you;
- to request that we correct any personal data if it is found to be inaccurate or out of date;
- to request your personal data is erased where it is no longer necessary for us to retain such data;
- where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction be placed on further processing;
- to lodge a complaint with the Information Commissioner’s Office.
